Throughout this document 'we' and 'our' refer to schoolskiracing.co.uk, the organiser of any event using schoolskiracing.co.uk and staff or volunteers working on behalf of either.

Data, our Terms & Conditions and your Rights

1. Data We Collect

We may collect and process the following personal data:

• School and Contact Information: Name, address, email address, phone number.
• Athlete Information: Name, date of birth, school year, school.
• Athlete Physical Data: Height, weight, shoe size.
• Usage Data: IP address, browser type and other technical data.

It is important that, where required, users ensure that they have appropriate consent from participants before providing their data.

2. How We Use Your Data

We process your data for the following purposes:

• To provide and manage our services.
• To manage entries to and results from ski races.
• To respond to your inquiries and communicate with you.
• To analyze website usage and improve user experience.
• To comply with legal obligations.

3. Legal Basis for Processing

We process your personal data under one or more of the following legal bases:

• Consent: When submitting membership forms to school skiing associations and on submission of team sheets you have given explicit consent for us to process and distribute your data as described herein.
• Contractual Obligation: When processing is necessary for a contract.
• Legal Obligation: When we are legally required to process your data.
• Legitimate Interests: Athlete data such as name, gender, year, category, and race results may be published in acceptance, start, and results lists as necessary for the organisation of races. These may be disseminated to participants and school association members, and published on both schoolskiracing.co.uk and on GBSKI.

4. Sharing Your Data

Where appropriate or necessary we share your data either directly or on behalf of Race Organisers with:

• The Race Organisers of the ski races which you enter via our website, in order to ensure that they can manage their races effectively.
• The ski slopes where events are held, for example to ensure that they are able to provide kit.
• Snowsport England and their Insurers, for example to ensure that appropriate cover is in place.
• Service providers and partners who assist in delivering our services and those of the race organisers, for example telling photographers which athletes have or have not consented to photography.
• Legal authorities, when required by law or to protect our rights.
• Other users appointed by your school to manage teams on their behalf. Where there is more than one approved user for a particular school, they will each see the same data in respect of that school.
• GBSKI and entrants for the purpose of publishing Acceptance, Start and Results Lists.
• Third parties with your explicit consent.

We do not:

• Share data between Race Organisers. If you enter a race organised by one entity it will not be visible to other entities.
• Share data with other schools or third parties, save for that necessary in the production of an Acceptance List, Start List, or Results List as set out below.
• Publish on social media, although Race Organisers might subject to their own policies.

Race Documents:

We do publish athlete information including name, gender, year, category, and race results in race documents such as Acceptance Lists, Start Lists, and Results Lists.
These may be shared with race organisers, schools, and published via public websites such as GBSKI and those of race organisers as well as being published via schoolskiracing.co.uk.
This processing is necessary for the legitimate interest of running fair and transparent competitions.

If you do not wish for your data to be published in this way, please contact the race organiser prior to submitting your entry.
Partial anonymisation may or may not be possible.

5. Your Rights

Under GDPR, you have the following rights regarding your personal data:

• Access: Request a copy of your personal data.
• Rectification: Correct inaccurate or incomplete data.
• Erasure: Request deletion of your data ("Right to be Forgotten").
• Restriction: Request to limit the processing of your data.
